These terms and conditions govern the rental of motorhomes from Adaptive Motorhome Hire Ltd.
By making a booking, you (“the Lessee”) agree to be bound by the terms set out below by Adaptive Motorhome Hire Ltd.
I acknowledge that by making a booking these Terms and Conditions are incorporated into our relationship and form a legally binding agreement between the Lessee and Adaptive Motorhome Hire Ltd.
“Lessor”: Adaptive Motorhome Hire Ltd., the company leasing the Motorhome.
“Lessee”: The individual(s) hiring the motorhome for a specified duration.
“Motorhome”: The vehicle rented by the Lessee from the Lessor.
“Hire Period”: The agreed-upon duration for which the Lessee hires the Motorhome.
“Security Deposit”: The amount payable by the Lessee to cover potential damage to the Motorhome.
“Hire Agreement”: The agreement between the Lessee and the Lessor for the hire of the Motorhome.
“Cassette Lift”: A wheelchair lift designed to assist individuals in entering and exiting the Motorhome.
“Wheelchair Restraint Systems”: The mechanisms within the Motorhome designed to secure a wheelchair and its occupant during travel.
“Habitation Door”: The main door providing access to the living area of the Motorhome.
“LPG Gas Refilling System”: The system used to replenish the Liquefied Petroleum Gas (LPG) supply in the Motorhome.
We want to ensure your experience is as smooth and comfortable as possible. If you have specific accessibility needs, we highly recommend arranging a consultation with us before booking, so we can make sure the Motorhome is the right fit for you.
Bookings can be made either online through our booking system or by getting in touch with us directly, whichever works best for you.
We accept payment via bank transfer or credit/debit card for your convenience.
To secure your booking, a non-refundable deposit of 20% of the total hire cost is required at the time of booking.
The remaining balance is due six (6) weeks before the start of your rental. For bookings made less than six weeks in advance, full payment is required at the time of booking.
If full payment is not received by the due date, we reserve the right to cancel the booking and retain the deposit. Please note that late payments may incur an administrative fee of £25 per week.
Bookings are accepted for rental periods of up to a maximum of 90 days.
Once we’ve received the required documents and payments, we’ll send a confirmation email to let you know everything is in place. This email serves as confirmation that your booking is legally binding.
A security deposit of £1,000 is required 1 working day prior to the collection of the Motorhome.
The security deposit will be pre-authorised against the same card used for the booking unless you have informed us of a different method. The Motorhome will not be released until the pre-authorised deposit is secure.
The Security Deposit will be refunded within 7 working days following the safe return and inspection of the Motorhome, subject to deductions for any damage, cleaning fees, refuelling charges, or violations of these terms. If any deductions are taken from the security deposit a detailed invoice will be provided indicating the cost of cleaning fee, fuel charges, repairs or replacements.
A non-refundable deposit of 20% of the total hire charge is required at the time of booking to confirm and secure your reservation.
Full payment is due no later than six (6) weeks prior to the start of the Rental Period. Failure to make full payment by this deadline may result in cancellation of your booking at our discretion, in which case the 20% deposit will be retained.
If you choose to cancel your booking, the following charges will apply:
More than 6 weeks before the start of the Rental Period: You will receive a full refund of any payments made, excluding the non-refundable 20% deposit. An administrative fee of £50 will apply, along with any applicable bank charges, which will be deducted from the refund.
Between 6 weeks and no less than 4 weeks before the start of the Rental Period: You will forfeit 30% of the total hire charge (this includes the non-refundable deposit).
Between 4 weeks and no less than 2 weeks before the start of the Rental Period: You will forfeit 50% of the total hire charge (this includes the non-refundable deposit).
2 weeks or less before the start of the Rental Period, or in the case of a no-show: You will be liable for 100% of the hire charge, and no refund will be issued.
Please note that all cancellations are handled at our discretion, and we understand that unforeseen circumstances may arise. We will always consider the reason for cancellation and, where possible, will attempt to rebook the rental period. In the event that we are able to secure an alternative booking, we may, at our sole discretion, issue a partial or full refund above the terms outlined.
The Lessor reserves the right to cancel a booking if the correct documentation does not follow the requirements of the insurance policy.
The Lessor reserves the right to cancel a booking if the MET Office issues an Amber or Red weather warning that, in the Lessor’s reasonable opinion, makes it unsafe or impractical to proceed with the hire.
In such circumstances, the Lessor will make reasonable efforts to rearrange the booking to an alternative date, subject to availability. If a rearrangement is not possible, or if the booking is partially affected, the Lessor may, at its sole discretion, offer a pro rata refund for any days during which the Motorhome is unavailable due to the weather conditions.
The Lessor shall not be held liable for any failure or delay in performance arising from circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, government actions, or pandemics.
The Lessor will make reasonable efforts to ensure the Motorhome, and its accessible features are in full working order at the commencement of the Rental Period.
However, in the event of unforeseen circumstances, including but not limited to mechanical failures, technical malfunctions of accessible equipment (such as the Cassette Lift, Wheelchair Restraint Systems, driving aids or storage racks), or damage occurring prior to the rental period, the Lessor shall not be held liable for any losses, expenses, or inconvenience incurred by the Lessee.
In the event of such circumstances, the Lessor will make reasonable efforts to:
Rectify the issue as quickly as possible.
At the total discretion of the Lessor, offer a partial or full refund for the portion of the Rental Period affected.
The Lessee acknowledges that the operation of complex accessible equipment may be subject to occasional technical issues, and the Lessor will provide reasonable support to address such issues.
The Lessee accepts that due to the nature of motorhomes, and accessibility equipment, that unforeseen failures can occur.
Drivers must be between 25 and 70 years old.
Drivers must hold a full, valid UK driving license (category B) with a minimum of 3 years of driving experience.
All named drivers must provide a copy of their driving license and the one-time DVLA share code (obtained from https://www.gov.uk/view-driving-licence) at least 21 days prior to the commencement of the Rental Period.
Failure to provide the required license information within the stated timeframe may result in the cancellation of the booking without any refund.
Drivers with endorsements on their license must contact the Lessor prior to booking for individual insurance assessment and approval. Failure to disclose endorsements may invalidate insurance coverage.
If the driver holds an international driving license, they must also provide a valid passport, and proof of UK residency. The international driving license must be valid for driving in the UK.
The Lessor reserves the right to refuse any driver to operate the Motorhome.
You are fully responsible for the safe custody of the vehicle keys during the hire period. If the motorhome is stolen and the keys were left inside or unattended, this will be considered negligence, and your insurance cover will be invalidated. In such cases, you will be fully liable for the cost of the vehicle and any associated losses or damages resulting from the theft.
The Motorhome should be collected and returned at our designated location, at the times we’ve agreed with you in advance. We’ll do our best to be flexible where we can just let us know if you think you’ll need a little extra time.
Please allow around 1 hour for both collection and return, so we can go through everything together, answer any questions, and make sure you feel confident and comfortable before setting off.
We kindly ask that the Motorhome is returned in the same clean and tidy condition it was in when collected, allowing for normal wear and tear. If it’s returned in a condition that requires additional cleaning beyond what’s reasonable, a cleaning fee will be apply.
We understand that unexpected delays can occur. If you anticipate returning the Motorhome later than the agreed time, it is essential that you notify us as soon as possible. Failure to do so may result in your insurance becoming void and could lead to serious legal consequences, including prosecution for driving without valid insurance.
Late returns will incur the following charges, which will be deducted from your security deposit:
Returned between 3:00 pm and 6:00pm: £150
Returned after 6:00pm but before 9:00pm: £300
Returned after 9:00 PM: £300 plus £100 per hour or part hour
Returning the Motorhome after the agreed hire period, without prior authorisation, will be considered a breach of contract and may lead to additional penalties, including recovery costs and potential legal action.
Our motorhomes come equipped with everything you need to enjoy a comfortable trip, including bedding, towels, cooking utensils, crockery and cutlery, gas bottles, toilet chemicals, and eco-friendly cleaning materials.
A full inventory will be provided and reviewed with you at the time of collection to ensure you know what’s included.
To keep things hygienic for all our guests, we ask that the toilet is emptied and cleaned before return. If it hasn’t been emptied or is returned in an unsanitary condition, a cleaning fee of £50 will apply and will be deducted from your security deposit.
We’ll always carry out a fair inspection, and any remaining deposit due will be processed and refunded within 7 working days of the end of your hire.
For your safety, we kindly ask that you check the oil, water levels, and tyre pressures daily during your rental. If these aren’t maintained at safe levels, it may result in breakdowns or damage and in such cases, the Lessee may be responsible for any resulting costs.
If you’re unsure how to perform these checks, please let us know as we’re happy to walk you through it during your handover.
You are responsible for any damage to the windscreens, windows, or tyres during your rental.
If you experience a puncture or windscreen damage, please contact us before arranging a repair, and we’ll guide you through the best next steps. If a repair is needed and not arranged during the rental, the cost will be deducted from your security deposit.
Please note that our motorhomes run on diesel fuel only. If the wrong fuel is used, the Lessee will be responsible for any repair costs resulting from the damage.
The motorhome will be supplied with a full tank of fuel, and we ask that it is returned full at the end of your trip.
We understand that refuelling can be challenging for some customers due to accessibility limitations. If you anticipate any difficulties, please let us know as we’re happy to discuss alternative arrangements to support your needs wherever possible.
If the Motorhome is returned with less than a full tank, a refuelling fee of £30 will apply, in addition to the cost of the fuel needed to top up the tank. We’ll always be transparent about this and provide a breakdown of any charges.
The insurance policy covers one named driver.
To add an additional driver, they must also meet the age and licence requirements and provide valid proof of ID and address. An additional fee of £100 applies per additional driver, per week.
The Motorhome is insured for the Rental Period, subject to the terms and conditions of the insurance policy.
The insurance includes:
Comprehensive Motorhome Hire Insurance (provided by Allianz Insurance)
UK Breakdown Cover
Motor Legal Expenses
If keys are left in and it is stolen, no insurance cover, liable for all costs associated.
The Lessee is responsible for any excess charges in the event of a claim.
The Lessee is liable for any windscreen or tyre damage.
The Lessee must comply with all terms and conditions of the insurance policy. Failure to do so may invalidate the insurance.
Full details of the insurance policy are available upon request.
Our insurance policy does not provide cover for Lessees whose primary occupation falls within the following categories: Celebrities, professional sportspeople, entertainment industry professionals, those involved in hazardous occupations, racing or gambling.
The Lessor reserves the right to request proof of occupation from the Lessee.
If the Lessee’s occupation changes during the Rental Period and falls within an excluded category, they must inform the Lessor immediately.
If the insurance is invalidated due to undeclared occupations, the Lessee will be held fully liable for all damages and third-party claims.
The Motorhome must not be taken outside of the UK.
The Motorhome must not be driven with any other passengers not specified on the booking form.
The Motorhome must only be used for its intended purpose, which is recreational travel within the terms of the insurance.
The Motorhome must not be used for commercial purposes or for any illegal activities.
The Lessee is solely responsible for adhering to the Maximum Authorised Mass of the vehicle. The law states the vehicle, and all your belongings must not exceed 3500kg.
The Lessee is solely responsible for the maintenance of the vehicle, including tyre pressure, oil, water and batteries are checked throughout the hire period.
Smoking is not permitted inside the Motorhome, should evidence be detected we reserve the rights to impose the full security deposit amount.
Pets are not permitted unless registered as assistance dogs by prior agreement. Additional charges and conditions will apply.
Registered assistance dogs are permitted subject to prior agreement. No other pets are allowed. The Lessor reserves the right to request valid assistance dog documentation in compliance with the Equality Act 2010.
The Lessee is responsible for the safe and correct use of all accessibility equipment provided in the Motorhome, including the Cassette Lift and Wheelchair Restraint Systems.
The Lessor will provide instruction on the safe operation of the equipment at the commencement of the Rental Period.
The Lessee must report any faults, malfunctions, or safety concerns with the accessibility equipment to the Lessor immediately.
The Lessor cannot be held liable for misuse, improper operation, or failure to report issues relating to accessibility equipment.
Travel in a wheelchair inside the Motorhome is only permitted if expressly agreed in writing (including by email) between the Lessor and the Lessee prior to the start of the Rental Period.
Prior start of the Rental Period, the Lessor will provide the Lessee with documentation confirming that the wheelchair restraint system and designated travel position meet relevant crash-tested safety standards (ISO 10542 or equivalent).
The Lessee must ensure that their wheelchair is compatible with the restraint system and must follow all provided instructions to secure it correctly during travel.
If the Lessee’s wheelchair is not compatible with the restraint system, or if the necessary safety certification is not available, the Lessee must transfer to a designated travel seat, and the wheelchair must be safely stowed.
The Lessee must inform the Lessor of the make and model of their wheelchair at the time of booking to ensure compatibility.
The Lessee must not alter, tamper with, or modify the restraint system in any way.
A demonstration of the wheelchair restraint system will be provided at the time of handover.
All occupants must wear seatbelts in designated travel seats at all times while the vehicle is in motion, in accordance with UK law.
The Lessee is responsible for ensuring all passengers (especially those under 14) comply with seatbelt regulations.
Children must travel in suitable child seats or boosters appropriate for their age and weight, and these must be compatible with the seatbelt system.
Any occupant with a medical exemption must carry a valid seatbelt exemption certificate and present it upon request.
Failure to comply with UK seatbelt laws may result in insurance invalidation and full liability for any resulting claims.
The Lessee is fully responsible for any damage, loss, theft, or vandalism to the Motorhome or its contents during the Rental Period, except for fair wear and tear.
This includes (but is not limited to):
Damage to the vehicle exterior or interior, including bodywork, windows, windscreens, tyres, or fittings.
Loss or breakage of any fixtures, fittings, or inventory supplied with the Motorhome.
Stains, burns, or contamination (e.g. from smoking or pets).
Damage caused by overloading the vehicle or improper use of equipment.
Negligence or misuse by the Lessee or any named driver, including failure to secure the vehicle, improper refuelling, misuse of accessibility equipment, or ignoring dashboard warnings, may result in full liability for repair or replacement costs.
The Lessee must report all damage or loss immediately to the Lessor. Delayed or concealed reporting may result in additional charges and invalidate any insurance claim.
Where an insurance claim is possible, the Lessee must follow the insurer’s procedures and allow the insurer the opportunity to assess, repair, or replace any damage before seeking reimbursement or compensation from the Lessor.
Failure to cooperate with an insurance claim including delays, false statements, or refusal to provide required documentation may result in the Lessee becoming personally liable for the full cost of the loss or damage.
The Lessor reserves the right to pursue recovery through the Lessee if the insurer refuses to pay due to the Lessee’s non-compliance or misrepresentation.
The Lessor shall not be liable for:
Any indirect, special, or consequential losses (e.g., holiday disruption, hotel costs, loss of income, emotional distress).
The loss of the Lessee’s personal belongings or valuables left inside the Motorhome.
Damage resulting from force majeure events including weather, theft, or vandalism where the Lessee failed to take reasonable precautions.
Where the Lessor is found liable for any direct loss or inconvenience not covered by insurance and not caused by the Lessee’s own actions or omissions, the Lessor’s aggregate liability shall be strictly limited to £100 (one hundred pounds).
This limitation applies regardless of the cause of the loss, including but not limited to delays, mechanical issues, or temporary unavailability of features (e.g. the Cassette Lift or restraint systems).
In the event of a breakdown, the Lessee must first ensure the safety of all passengers and secure the Motorhome, following all applicable safety procedures.
The Lessee will then arrange roadside assistance through the provided breakdown cover. The Lessee must follow any instructions given by the roadside assistance provider.
Once safety is assured, the Lessee must contact the Lessor immediately, providing details of the breakdown and location.
The Lessee may be held responsible for any costs incurred if the breakdown is determined to have been caused by their negligence or misuse of the Motorhome.
In the event of an accident, the Lessee must:
Immediately ensure the safety of all occupants and other involved parties.
If anyone is injured, call emergency services (999 in the UK) immediately.
If safe to do so, secure the Motorhome and prevent further damage.
Exchange contact and insurance details with any other parties involved.
Obtain the names and contact details of any witnesses.
Do not admit liability.
Contact the Lessor immediately, providing full details of the accident, including photographs and/or video evidence if possible.
Complete an accident report form as provided by the Lessor.
Contact the police if required by law or if any party has left the scene of the accident.
The Lessee must cooperate fully with the Lessor and their insurance company in any investigation or claim arising from the accident.
The Lessee will be liable for any insurance excess and any costs not covered by the insurance policy if the accident is deemed to be their fault.
The Lessee must provide the lessor with any police report or crime reference number obtained.
This Agreement and any dispute or claim arising out of or in connection with it shall be governed by and construed in accordance with the laws of England and Wales. The parties irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim.
This Agreement constitutes the entire agreement between the parties and supersedes all prior discussions, negotiations, or agreements, whether oral or written, relating to its subject matter. No amendment or variation to this Agreement shall be effective unless made in writing and signed by both parties.
If any provision of this Agreement is found to be invalid, illegal or unenforceable, the remaining provisions shall remain in full force and effect. The invalid or unenforceable provision shall be replaced with a valid provision that most closely reflects the original intent.
The failure of either party to enforce any provision of this Agreement shall not be deemed a waiver of that or any other provision. Any waiver must be in writing and signed by the party granting it.
Neither party shall be liable for any delay or failure to perform its obligations under this Agreement if such delay or failure results from events beyond its reasonable control, including but not limited to natural disasters, extreme weather, acts of war, government restrictions, pandemics, or other similar events.
The Lessee may not assign, transfer, or sublet any of their rights or obligations under this Agreement without the prior written consent of the Lessor.
The Lessor may assign or transfer this Agreement at any time, provided such transfer does not materially affect the rights of the Lessee.
The Lessor reserves the right to amend these Terms and Conditions at any time. Any updates will be published on the Lessor’s official website, and it is the responsibility of the Lessee to review them periodically. Continued use of the services following any such changes constitutes acceptance of the updated Terms and Conditions.
The Lessor is committed to protecting your personal information and will handle all personal data in accordance with the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR). Personal data will only be collected, stored, and processed as necessary for the performance of the rental agreement or as otherwise required by law.
